Workforce management software is a system that consists of all the functions required to ensure that the workforce is industrious and reaches its goals in terms of productivity. The term is also known as workforce optimization and some of the activities that it encompasses are payroll and benefits, time and attendance, management of performance and mobile solutions. This working model is specifically concerned with assigning the right job to the right person. The software is still new and the majority of corporations are not using it though the trend for implementing it is growing.

Most companies are still using the time consuming spreadsheet programs. Further disadvantages of this result in poor customer service and costly overtime to name a few examples. When using the program planners create schedules that work together with the requirement. The program includes information about the laws, local agreements and employee contracts. Algorithms in the program calculate how many personnel are needed to produce a certain output in order to reach certain sales figures.

The planning process also includes factoring in holidays and vacations, restrictions of labor legislation, budgets and staffing requirements on a long and short term basis so it is easier to integrate employees into the system. Employees can include their availability or absences and make a bid for certain shifts. The criteria is for them to have the required skills to do the job. Historically 80% of shift requests are fulfilled by the system.

No matter at what level the employee is functioning at each individual must understand clearly what their required work is to be and additionally they must know how to produce results in optimum time. This must be done in a safe and efficient manner. The software will forecast the demand, schedule the workers, assign the tasks and measure the performance providing the feedback and providing recommended incentives. Their pay is also calculated by the program.

Whenever training is required to improve performance online courses are available where supervisors mentor the workers. The software allows for the fine tuning of the system by factoring in allocated training time to increase the likelihood of improving employee output. Employees' skills will be fine tuned so that they will be up to date on what is required of them.

Much money will be saved in not having to outsource. Employers will have more time to focus on building their business. Businesses and institutions that use this program include hospitals, restaurants, hotels, call centers and volunteer organizations.

The software is web-based so it does not have to be downloaded. Employees have the freedom to log in and choose their schedules to plan their work and free time. This process in itself saves the employer the time and money from having to do it themselves. Many software programs are also integrated with social media sites as well as cell phones.

The goal for implementing a workforce management software system is to improve customer service, decrease labor costs and to optimize the productivity of the workforce. It is designed to coordinate the performance between the personnel in corporate management, the regional managers and the managers underneath them, and the individual workers in all the different departments of the workforce. Each worker must have a clearly defined description of the work expected from them.
